StoryFind is a Storytelling Consulting Agency for Nonprofits (note that we have a new website coming soon). We are based in Lincoln, Nebraska, but our work takes us all over the world. Our team holds a strong identity and national recognition, particularly within the nonprofit, Christian ministry, healthcare and higher education sectors. Our mission is to help organizations find and tell their most impactful stories. Our services include video production, training on the StoryFind Process, trauma-informed storytelling training, and consulting services aimed at maximizing engagement from donors, staff, volunteers, and boards through the power of storytelling.

Our services revolve around the StoryFind Process described in the book, “StoryFind: The Handbook for Finding and Telling Your Nonprofit’s Most Impactful Stories” by StoryFind’s Chief Storytelling Author, Kristin Sukraw, a Licensed Mental Health Practitioner, author, and speaker.

The Executive Assistant Role

The Executive Assistant primarily provides comprehensive administrative support to the Visionary (CEO) and Integrator (President). The ideal candidate will be highly organized, detail-oriented, and have excellent communication and interpersonal skills.

Result Statement

Proactively assist in the Visionary’s (CEO’s) schedule, communications, and administrative tasks to optimize their time and efficiency, enabling them to focus on strategic initiatives. Provide similar assistance to the Integrator (President).

Executive Assistant Responsibilities

  • Calendar Management: Assist in managing the Visionary and Integrator calendars by scheduling appointments, meetings, and travel arrangements, ensuring efficient use of time.

  • Email Management: Help manage the Visionary’s email inbox, including filtering, prioritizing, and drafting responses to maintain effective communication.

  • Document Preparation: Assist in preparing and editing correspondence, presentations, reports, and other documentation for internal and external stakeholders.

  • Meeting Preparation: Support the Visionary and Integrator in meeting preparation, including agenda development, assembling materials, 

  • Asana and Task Management: Assist the Visionary and Integrator in assigning tasks in Asana, prioritizing tasks, voluntarily taking on tasks where possible, and  tracking follow-up actions.

  • Budgeting and Proposals: Assist in drafting budgets, proposals, and supporting documents as needed.

  • Slide Deck Development: Create slide decks in both PowerPoint and Google Slides.

  • Notes Transfer: Assist in transferring and organizing notes from Apple Notes to the appropriate platforms, primarily Pipedrive or Asana.

  • Confidentiality: Handle confidential and sensitive information with the utmost discretion and maintain strict confidentiality at all times.

  • Ad Hoc Support: Provide support to all members of the Executive Team, with a time estimate of supporting the Visionary & Integrator 80% of the time and Kristin 20%.

  • Event Planning: Assist in planning and executing events such as conferences, seminars, workshops, and social gatherings.

  • Arrange Speaking Opportunities: Assist Kristin with speaking opportunity submissions. 

  • Executive Team Initiatives: Assist with various company projects initiated by the Executive Team, ensuring alignment with overall organizational goals.

  • NDA Requirement: An NDA (Non-Disclosure Agreement) will be required due to the sensitive nature of the information handled in this role.

Other Special Projects Responsibilities

  • Project Leadership: Lead and manage special projects across departments, ensuring that all deliverables are completed on time, within scope, and on budget.

  • Strategic Collaboration: Work closely with various teams to ensure collaboration and alignment on critical projects that impact the organization.

  • Process Improvements: Identify areas for improvement across the organization and drive process enhancement initiatives.

  • Reporting: Provide regular updates on project status, key achievements, and challenges to the Executive Team.

  • Stakeholder Engagement: Coordinate with both internal and external stakeholders to ensure clear communication on project goals and progress.

Qualifications

  1. Organizational Skills

    1. Strong ability to manage schedules, appointments, and travel arrangements.

    2. Proficient in managing multiple tasks and prioritizing effectively.

    3. Experience with calendar management software and other organizational tools (e.g., Google Calendar, project management tools).

  2. Communication Skills

    1. Excellent verbal and written communication skills.

    2. Ability to interact with different levels of staff, clients, and external contacts professionally.

    3. Skilled in drafting correspondence, preparing reports, and managing executive communication.

  3. Attention to Detail

    1. Exceptional accuracy in managing documents, emails, and scheduling.

    2. Proofreading abilities and the skill to catch errors before they become problems.

  4. Problem-Solving Ability

    1. Strong critical thinking and the ability to handle challenges independently.

    2. Proactive in identifying issues and resolving them before they escalate.

  5. Discretion and Confidentiality

    1. Trustworthiness in managing sensitive company information, confidential documents, and executive-level discussions.

    2. High level of integrity and professionalism.

  6. Technical Proficiency

    1. Proficient in office software (Microsoft Office Suite, Google Workspace) and able to adapt quickly to new technologies.

    2. Familiarity with communication tools such as Zoom, Slack, and other business software.

  7. Time Management

    1. Ability to prioritize tasks and manage time efficiently for both themselves and the executive.

    2. Strong sense of urgency when necessary and calm under pressure.

  8. Interpersonal Skills

    1. Strong relationship-building skills and the ability to work effectively with different personality types.

    2. Empathetic listening and emotional intelligence, especially when dealing with stakeholders, team members, prospects, and clients.

  9. Flexibility and Adaptability

    1. Willingness to adapt to changing priorities and manage unexpected tasks or challenges.

    2. Ability to function in fast-paced, often demanding environments.

  10. Previous Experience

    1. Proven experience as an executive assistant or in a similar administrative role.

    2. Experience in working with an agency is a plus.

    3. Experience with EOS® is a plus.

  11. Project Management

    1. Experience in managing or coordinating special projects from conception to completion.

    2. Able to work across departments and ensure timely project execution.
